We are seeking a highly organized and professional Executive Assistant to provide high-level administrative support to the President of our company. The ideal candidate will be detail-oriented, proactive, handle phone calls, emails, Invoicing and estimating, detailed filing, creating files and file systems and able to handle a wide range of administrative and executive support-related tasks.
**Duties:** ($18-$24/per hour/part time, 4 hour shifts, 12 to 15 hours per week)
- Manage the President's calendar, including scheduling meetings and appointments
- prepare weekly detailed itineraries for appointments
- Screen and direct phone calls and emails to appropriate parties
- Assist in preparing reports, presentations, and correspondence
- Conduct research and compile data as needed
- Coordinate projects and follow up on action items
- Maintain office files and records in an organized manner
- Proofread documents for accuracy and completeness
-Answer company reception desk phone line, take messages, book estimate appointments for high level managers
-Use Quickbooks online to make estimates and invoices
-Use "hello-Bonsai" online program to make contracts, proposals, and enter in the tasks for project managers and president
