Top Foundation Executive develops and leads the vision, strategic planning, financial management, fundraising, and grantmaking operations that support the overall objectives of a foundation. Maintains positive relationships with foundation stakeholders, including the board of directors, grantees, community leaders, donors, and prospective donors.     About This Position

    The Executive Assistant for Grantmaking & Community Leadership provides administrative support to the VP of Grantmaking & Community Leadership and other leaders within the Grantmaking & Community Leadership team.  Duties include performing clerical functions such as preparing correspondence, taking meeting minutes, arranging conference calls, scheduling meetings, handling information requests, conducting research, and preparing reports.

    The Executive Assistant will agree with and demonstrate respect for the Foundation’s belief that “diversity” means the active inclusion of the entire community as welcomed participants in all Foundation activities; support the Foundation’s practice of encouraging diversity, equity, and inclusiveness as the cornerstones of all that the Foundation does.

    Essential Functions

    Email, Correspondence, and Calendar Management 

    • Manages the VP’s schedule, calendar, appointments including preparing research, agendas, and other materials in advance, and confirming attendance.
    • Performs clerical and administrative tasks, including drafting and expediting letters, memos, reports, coding invoices for payment, and submitting expenses.
    • Provides other administrative support and assistance to the VP and other managers as assigned.

    Information Management and Communications

    • Assists donors, board members, grantees, professional advisors, and the general public in a courteous, helpful, and respectful manner. 
    • Creates monthly reports, documents, and presentations for the Grantmaking & Community Leadership Committee as well as quarterly reports for the Board of Directors, Executive Committee, and others, as needed.
    • Provides support to the Grantmaking & Community Leadership Committee, including sending reminders and advance materials, troubleshooting when needed, and producing meeting minutes no more than ten days from the meeting. Additionally, maintains board engagement records and communicates all decisions to appropriate departments/staff.  
    • Conducts research, compiles data and analyzes information for meetings and special projects.
    • Schedules, prepares for, and attends other meetings, takes notes and records minutes as assigned.

    Team Management 

    • Serves as the point person for coordinating department activities and maintains annual workplan and special projects or initiatives.
    • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes or distributes contents to appropriate staff.
    • Performs office tasks, including maintaining records and ordering items and supplies.
    • Arranges travel and accommodations.
    • Works collaboratively with administrative support staff across the organization 
    • Performs additional duties as assigned by management.
    • Supports CCF’s practice of encouraging diversity, equity, and inclusiveness.

    • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems. Able to type a minimum of 50 words per minute.
    • Advanced proficiency with Microsoft Office Suite or similar software with the ability to learn new or updated software.
    • Frequently communicate with colleagues and the public. Must be able to exchange accurate information.
    • Willingness to stay up to date on the latest administrative methodologies and technologies as well as philanthropic and community news. 
    • Team-oriented approach, service focus, and the ability to think outside of the box with a sense of urgency.

    Education And Experience

    • Associate or bachelor’s degree in business administration, management, communications, or related field preferred. Equivalent work experience in lieu of a degree will be considered. 
    •  At least two years of experience supporting a senior-level executive or team is preferred.
    • Prior experience with Board engagement preferred. 
    • Experience with Boardable and C-Suite, or similar systems, preferred.
    • Experience managing confidential information properly preferred.

    Physical Requirements

    • Must be able to sit and work at a computer for long periods.
    • Needs to occasionally move about inside the office to access file cabinets, office machinery, etc., and lift small items (less than 20 pounds).
    • Continuously operates a computer and other office productivity equipment, such as a calculator, copy machine, and computer printer.
    • This is a hybrid position that requires at least 3 days per week in the office.
    • This role requires flexibility in working hours and may involve occasional overtime or availability outside regular business hours to accommodate the executives' needs.
