As an Assistant Registrar and Student Support Specialist at the Medical Training Institute of New York, you have an established set of duties and responsibilities to ensure the optimal environment for teaching and learning and the ideal functioning of the school as an educational institution. You are responsible for providing high-level customer service to prospective students and informed and personalized guidance during the admissions process.
Job Description:
The Office of the Registrar provides quality service and support to students, faculty, administrators, alumni, and the external community through timely and accurate handling of enrollment activities and records in accordance with academic policies, professional standards, and governmental regulations. The Assistant Registrar and Student Support Specialist will be responsible for promoting student satisfaction and service. The Assistant Registrar and Student Support Specialist is a proactive member of the Registrar team, providing oversight and support of day-to-day functions with the ability to resolve issues. This position requires a fully in-person work schedule on our Manhattan campus and does not qualify for remote work.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Serve as the front-line customer service representative to students, faculty, and staff.
- Manage cross-registration, reverse transfer, consortiums, and Non-Credit applications.
- Respond to and professionally manage Admissions@mtiofnewyork.com email while remaining in compliance with FERPA guidelines.
- Responsible for processing and approving student registrations and withdrawals.
- Represent the Office of the Registrar at the Student Solution Center by providing in-person support, including resolving registration, financial aid, and bursar issues.
- Process graduation applications and assist with TAP processing and audits.
- Responsible for the timely completion of all in-person and online transcript requests.
- Support, troubleshoot, and guide students, advisors, faculty, staff, and other departments within the college.
- Maintain the integrity, accuracy, retention, and security of student records.
- Ensure campus-wide compliance with FERPA regulations.
- Assist with managing student workers.
- Assist students with inquiries and issues in person and via phone while ensuring compliance with FERPA.
- Assist the Associate Registrar in providing leadership in the daily operations of the office and to provide a service-oriented office to students, faculty, staff, external office visitors and agencies.
- Other duties as assigned.
Requirements:
Minimum Qualifications:
- Bachelor's degree from an accredited college or university.
- One (1) year of full-time and responsible experience in higher education to include customer service.
- Proficiency with Microsoft Office Suite (Excel, Outlook, PowerPoint, Word).
- Knowledge and understanding of FERPA and student records privacy policies.
- Ability to display and execute good customer service skills and good listening skills.
- Cultural competence and ability to communicate effectively, in writing and verbally, with diverse constituencies.
- Strong verbal and written communication skills and the ability to work within a team.
- Ability to multi-task, prioritize, and execute tasks with strong attention to detail.
- Availability and ability to work a flexible schedule during peak periods, including evenings and/or weekends.
Preferred Qualifications:
- Master's degree from an accredited college or university.
- Reporting experience.
