Purchasing Clerk initiates, prepares, processes, and verifies purchase orders following established guidelines to purchase materials and goods by required delivery dates. Inputs transactions and administers a purchasing and contracts system or database. Being a Purchasing Clerk interacts with suppliers to obtain favorable pricing terms, product specifications, monitor availability, and optimize savings. Expedites delayed orders and resolves issues with changes, returns, replacements, and credit arrangements. Additionally, Purchasing Clerk coordinates with internal teams to ensure that procurement needs are met promptly and efficiently. Requires a high school diploma. Typically reports to a supervisor or team leader. The Purchasing Clerk works under the close direction of senior personnel in the functional area.     The Purchasing Coordinator is an integral part of the team at our hotel which features 897 rooms and about 40,000 square feet of meeting space. This person will primarily work Monday to Friday with flexibility to work Saturday as needed, typically some time between the hours of 7:00am - 5:00pm. Primary responsibilities include:

    • To provide assistance in the Food Storeroom on the heavy delivery days, typically Tuesday and Friday, and subject to change based on business demands.
    • To ensure that all food, non-food, and beverage products are issued from the storeroom on a daily basis.
    • To ensure that orders must be in in a timely fashion and that they meet the appropriate business demands.
    • To ensure that all produce items have a received date to promote proper rotation.
    • To ensure that the BirchStreet order guides/purchase orders are used to streamline the ordering and receiving process.
    • To monitor, on a weekly basis, all purchase orders that are not complete in BirchStreet.
    • To ensure that all temporarily out of stock (TOS) items be communicated to minimize the impact on the operation.
    • To ensure that all confidential information is secure in an appropriate manner as specified per the company’s policy.
    • To ensure that the Food & Beverage receiving (BirchStreet) and the excel spread sheet (emailed to the Finance department) are secured in the appropriate manner when containing confidential information and then completed and forwarded to the Chef for approval on a daily basis.
    • To ensure that all non-catalog items are updated during the receiving process.
    • To ensure that all invoices be scanned into the purchasing drive to maintain active and orderly file history of past purchases.
    • To ensure that all Food & Beverage requisitions in BirchStreet have been completely filled and expedited to the requesting department(s) on a daily basis.
    • To ensure that the temperatures of all proteins (fish, meat, and poultry) delivered and the delivery truck as well, are within health regulations and document the temperature on the invoice for proper record keeping.
    • To ensure that all items are properly stored and are not on the floor or in/on milk crates, or any other unacceptable method for storing items.
    • To organize the loading dock area and ensure, on daily basis, that all pallets, milk crates and the specific purveyors retrieve bread racks.
    • To ensure/improve communication, especially in critical situations, by utilizing the provided radios to expedite procedures.
    • To ensure clothing and personal items/bags are not in any of the Food & Beverage storerooms.

    Secondary responsibilities include:

    • Assist as deemed necessary, with the receivable of goods into the hotel.
    • Assist as deemed necessary, to ensure that all hotel packages (guests/Hyatt Colleagues/Departments) are received and delivered or provide notification according to the standard operating procedures.
    • Assist as deemed necessary with the collection of all carts to expedite the delivery/requisitioning process.
