Project Coordinator
Washington DC Metro Area (Preferred) / Fully Remote
Marathon TS is seeking a Project Coordinator to help support a Military Health client based out of the Washington DC Metro Area. This position is fully remote.
Your responsibilities will include document management, tracking project progress, meeting facilitation, reporting, and defect management in JIRA.
This role requires a highly organized, detail-oriented individual who can manage multiple tasks effectively and communicate complex information clearly. You should be able to drive work independently and accurately prioritize responsibilities. You should be adept at identifying inefficiencies and proactive in implementing process improvements.
You will coordinate with senior government leaders. This role requires excellent verbal and written communication skills and a positive and professional image.
This role will also work with Prime Contract team members, vendors, and subcontractors in support of the program.
JOB RESPONSIBILITIES:
Document management: You will ensure that important documents that require multiple contributors and reviewers are completed within their designated timelines. You will work with senior government leaders who need to review and approve these documents. This involves closely monitoring schedules, coordinating with team members across departments, and adjusting timelines as needed to meet deadlines. You will use JIRA and Jazz to track and manage documents.
Tracking: You will maintain and update activity trackers that provide data on project progress to stakeholders. You will need to ensure these trackers are accurate and updated in real-time to reflect any changes or updates in project status. You will find ways to standardize and automate the tracking process.
Reporting: You will update reports that summarize project status, resource usage, and any issues or risks that have been identified. These reports will be used for internal review and decision-making, as well as for keeping clients and stakeholders informed of progress. You will present these reports at recurring meetings. You will find ways to standardize and automate the reporting process.
Meeting facilitation: You will organize and manage regular meetings to ensure all team members are aligned and informed. This includes scheduling meetings, preparing agendas, facilitating discussions, and documenting outcomes. You will also support meetings by taking notes and sharing action items.
Defect management: You will follow established defect management processes to facilitate the review and adjudication of identified defects, schedule defect review meetings, record and publish defect meeting minutes, and track defect status through the resolution process. You will be responsible for defect reporting to stakeholders to ensure they are informed. You will regularly use JIRA to do this work.
Perform special projects and/or other duties as assigned or required.
