Description
To build out and maintain a vendor data repository for the HR Department in SharePoint. Assist with issue escalations and monitor vendor performance to ensure compliance with contracts and service level agreements. Identify opportunities to consolidate services for cost savings. Serve as subject matter expert for business functions, systems, policies and/or procedures. Responsible for lower impact/value contracts and determined by business unit standards.
Responsibilities
Ensure HR vendor data is captured, consolidated and accurate to enable vendor relationship management improvement through data analysis, cross-functional collaboration, and project support
Support implementation, enforcement and continuous improvement of Vendor Management data and reporting, including tracking alignment with policies, procedures and guidelines
Review documents to capture and log relative information, such as contract effective dates, payment terms, SLAs and other key data
Collaborate with HR Finance to evaluate and interpret invoices; assist in preparing vendor documents and reports
Collaborate with Procurement & Vendor Management, Information Security and Enterprise Risk Management to ensure consistent, accurate data HR vendor data across enterprise platforms
Support a centralized intake process for all HR contract and vendor-related activities
Collaborate with HR Risk and Finance, as well as HR divisions to ensure periodic vendor performance assessments are completed, documented, and recommendations implemented if necessary
Support HR Vendor Management Leaders and divisions SMEs to develop scorecards and evaluate vendor performance and adherence using preestablished metrics and SLAs, including surveys, scorecards, etc.
Assist higher level staff by gathering applicable documentation for review as required for Enterprise and Department level vendor oversight
Analyze vendor utilization, goods and services provided and provide recommendations to higher level staff and/or leadership for contract modifications; provide recommendations for potential new vendor relationships based on analysis
Develop and implement procedural documents and job aids for internal use
Tracking actual vendor spend to contract; collaborate with division leads to advise on spend
Qualifications
Exposure to vendor management, contract management, risk management, audit and/or compliance
Significant experience with SharePoint and Excel
Familiarity with applicable federal and state laws, rules and regulations
Familiarity with Human Resources industry trends, products and services
Exposure to working with all levels of staff, management, stakeholders, vendors
Exposure to managing multiple priorities independently and/or in a team environment to achieve goals
Exposure to collaborating across organizational boundaries and building partnerships across various functions
Exposure to evaluating and examining policies, procedures, business documents, IT Security, and regulatory compliance controls
Desired - Bachelor's degree in Business Administration, or related field
