The International Foodservice Distributors Association, IFDA, is seeking a Manager ,Human Resources and Bookkeeper working at a national trade association in modern offices located near the Tysons Galleria in McLean, Virginia, conveniently located near the Greensboro Metro Station.
Essential Responsibilities:
· Assist in developing and executing personnel procedures and policies, and administering benefits, compensation, and employee performance programs, as well as assist with ensuring compliance with local and federal regulations and applicable employment laws;
· Responsible for biweekly payroll processing, verifying accuracy, verifying quarterly tax reports, checking leave balances, managing year-end payroll, and training staff on payroll software (submitting time, requesting leave…);
· Ensure timely processing and payment of A/P invoices in accordance with the company policies and procedures and act as main point of contact for vendors and IFDA staff regarding invoices and payments.
Additional Responsibilities and Duties:
Human Resources
· Recruit, and facilitate the hiring of qualified job applicants for open positions; collaborates with departmental managers to understand skills and competencies required for openings;
· Implement and oversees new hire orientation/onboarding and help organize training & development initiatives;
· Oversee the off boarding process for departing employees, finalizes all paperwork;
· Handle employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff;
· In conjunction with VP, Finance & Administration, responsible for employee benefits administration and ensures all benefits are being administered in compliance with internal policies and federal regulations as well as reporting requirements;
· Receives from Sr. Manager, Finance & Administration, and verifies biweekly 401(k) contribution reports, checking for accuracy, to use for submission of employee deferrals and matches to Fidelity, and also handling any employee changes;
· Assist with 401(k) year-end reporting to include Non-Discrimination Testing and Plan Year End Summary reports;
· Assist in development and implementation of human resource policies and maintain the IFDA Employee Handbook;
· Manage and undertake tasks around performance management; to include mid-year and year-end performance reviews;
· Assist with employee recognition programs and oversee years of service awards;
· Maintain employee files and records in electronic form;
· Prepare annual employee compensation benefit reports; and
· Chair the internal IFDA Wellness Committee.
Payroll
· Submit payroll to 3rd party for processing;
· Verify all employee time in 3rd party software;
· Input all necessary adjustments;
· Accountable for previewing payroll for accuracy;
· Responsible for reviewing and auditing employee leave balances; and
· Responsible for year-end payroll processing.
Accounts Payable
· Monitor invoices for appropriate signatures;
· Verify coding of all invoices, check requests and expense reports;
· Prepare disbursements weekly, or as needed;
· Pay vendors by monitoring due dates and any discount opportunities when available;
· Onboard and correspond with vendors and respond to any inquires or disputes;
· Calculate and pay monthly sales tax for IFDA;
· Prepare and process 1099 tax reporting at year end;
· Manage and keep abreast of laws around sales and use tax, and file sales & use tax forms;
· Verify federal tax identification numbers are on file for all payees;
· Manage and reconcile employee accounts receivable and employee travel advances on a monthly basis;
· Process monthly accounts payable accruals; and
· Perform accounts payable monthly closing and year end closing, running all necessary reports and reconciling accounts as needed.
Other
· Act as point of contact for building management;
· Acting fire warden for office, keep emergency procedures updated in employee handbook and coordinate with building management; and
· Act as liaison for DataWatch and Penn Parking, maintain all records.
No direct supervisory responsibilities required.
Minimal overnight travel (up to 5%) by land and/ or air.
Knowledge, Skills and Abilities Required:
· Must be able to work independently and exercise a great degree of confidentiality;
· Excellent communication and interpersonal skills and ethics;
· Must have strong attention to detail and accuracy;
· Excellent organizational skills and ability to prioritize; and
· Understanding of general human resources policies and procedures.
Education and Experience Requirements:
· Preferably 3 or more years’ experience in human resources; and
· Associates degree or higher preferred.
