Document Control Analyst jobs in Hawaii

Document Control Analyst administers document and record control operations, policies, and procedures for the secure management and access of company information assets. Maintains and enforces security protocols for the access, storage, backup, maintenance, reproduction, protection, and disposition of all documents. Being a Document Control Analyst evaluates media formats and follows storage requirements to protect and secure records/information. Analyzes access and control procedures to comply with requirements for varying levels of security classifications specified by the governing authority. Additionally, Document Control Analyst performs auditing, monitoring, and change control systems to May require a bachelor's degree. May require security clearance. Typically reports to a manager. The Document Control Analyst work is closely managed. Works on projects/matters of limited complexity in a support role. The Document Control Administrator/ Records Management Specialist is directly responsible for ensuring all project data is adequately cataloged, stored, and tracked. He/she reports directly to senior management and is also responsive to the needs of the owner, the contractor, and project staff He/she will ensure that storage of project documentation complies with customer specifications and requirements, regulations, industry standards, and the company’s standards and requirements. Duties/Responsibilities: Develop and implement document management policies and procedures to ensure consistency and compliance with regulatory requirements Establish and maintain an efficient document control system, including organizing, categorizing, and indexing both physical and electronic documents Collaborate with cross-functional teams to determine document management needs and provide guidance on best practices Monitor document workflows and ensure that all documents are reviewed, approved, and distributed in a timely manner Conduct regular audits to assess document quality, accuracy, and availability, and make recommendations for improvement Train employees on document management procedures and provide ongoing support and guidance Troubleshoot and resolve any issues or discrepancies related to document management systems or processes Requirements: Bachelor’s degree in information management or sufficient relevant experience Required to work onsite in Hawaii on the island of Maui Minimum of 3 - 5 years of experience in programs of similar size and scope Knowledge of document management standards and protocols Familiarity with document imaging techniques and software Experience with electronic document management systems (EDMS) is preferred Strong understanding of document lifecycle management principles Proficient with Microsoft Office (Outlook, Excel, Word, PowerPoint, etc.) Familiar with USACE RMS CM and EM-385-1-1 preferred Must be able to pass all required contract security requirements US Citizen Acuity International is an equal opportunity/affirmative action employer.
