Position Description:
Job Summary
Under the general supervision of the Managing Partners of United Apartment Group, implements a variety of administrative and clerical functions in support of the Corporate Office.
Duties and Responsibilities
1. Oversee front of house operations including answering phones and directing traffic as needed, as well as assisting in preparation of guests.
2. Drafts and finalizes routine correspondence on behalf of the Managing Partners.
3. Develops, maintains, and secures the executive filing system; determines the file categories and files documents accordingly.
4. Ensures that files critical to the existence, legal history and operation of the United Apartment Group are maintained current, are secured and are easily accessible when needed. Maintains and updates property files.
5. Assist Executive Administrator with SWBC for posting new openings, removing, editing and modifying based on company needs.
6. Assist Executive Administrator as a liaison to review and approve new hire decisions based on Managing Partner recommendations and guidelines.
7. Assist Executive Administrator with HR policy and form updates. Coordinates annual benefits enrollments, maintains new hire orientation schedules, requests, and updates.
8. Coordinates with Executive Administrator on calendars to ensure that required meetings and other executive activities do not conflict.
9. At the direction of Managing Partners, Executive Vice President, and Executive Administrator prepares the calendar of major monthly milestones of corporation and property activities and schedules. Distributes this calendar to all staff at all locations.
10. Maintains records for acquisitions, separations, employee database, and portfolio changes within internal records and across multiple product platforms.
11. Provides miscellaneous travel support to the Managing Partners and Executives. This support includes working with AMEX Global in setting up bookings as needed and assisting with follow-up on receipts.
12. May be requested to perform other administrative or clerical duties in support of the personal business activities of the Managing Partners or their family.
13. Performs other duties as assigned by the Managing Partners and Executive Vice President.
Qualifications
Experience:
Secretarial experience and/or property management experience are preferred but not a must.
Must demonstrate advanced knowledge of Microsoft Office Suite (including Word, Excel, Publisher, PowerPoint, Access, etc.)
Proficiency in all areas of office administration.
Possess time management and organizational skills.
Prioritization and multi-tasking are a must.
Exhibit professional appearance and understanding of business etiquette and demonstrate common sense, discretion and confidentiality when dealing with sensitive business and other matters involving the company.
