    Position Summary

    Position works with providers to lead the work of the Vascular Surgery Vein Practice in the clinical operation of a patient care setting; acts as the primary clinic resource in a multi-physician clinical practice; functions as a Medical Assistant. Promotes and assesses efficiency of current marketing strategies and is actively engaged in the expansion of the Vein Practice. Ensures the overall smooth running of the Vascular Surgery Vein Practice.

    Job Description

    Primary Duties & Responsibilities

    Patient Care Duties

    • Interacts directly with patients in clinic setting and completes tasks which may include obtaining vital signs, completion of EKGs, phlebotomy and verification of medications.
    • Prepares for office hours by doing tasks such as obtaining charts, scheduling tests and preparing exam rooms.
    • Assists with examinations, procedures and lab tests.

    Growth and Marketing

    • Seeks out new growth opportunities including events, fairs, screenings (coordinating own events and attending others).
    • Tracks where current referrals come from in order to maintain current referral sources and understand best opportunities for growth of referrals.
    • Updates promotional/marketing materials.
    • Evaluates cost of all products and services to ensure that the practice is well positioned in the market. Liaison with company representatives (Covidien, VNUS, Mindray and Vascular Insights ClariVein).
    • Promotes and supports continuous improvement of quality and service to ensure effective clinical outcomes and patient satisfaction.
    • Works within budget and obtains revenue goals as assigned by the Chief of Vascular Surgery.

    Communication and Documentation

    • Directs patient flow and flow protocols, including, when needed, revision to the website.
    • Keeps informed consents up to date and revises as necessary.
    • Assists with care coordination by doing tasks outlined under the department guidelines such as scheduling appointments, assisting physician with return calls; scheduling surgeries, diagnostic procedures and admissions; and monitoring new and return patient contacts, including scheduling of appointments and follow-up appointments.
    • Completes necessary paperwork and documentation in a timely manner.
    • Answers basic questions from patient/family regarding treatments, diagnosis and procedures.
    • If order entry in the electronic medical record is part of the job function, completes requisitions/orders per Washington University guidelines.
    • Coordinates with predetermination team as a clinical contact to ensure that Vein procedures are being submitted correctly to the insurance companies.

    Equipment and Supplies

    • Monitors supply inventory, ensuring adequate supplies, equipment or garments are available and that they comply with regulations.
    • Cleans and stocks exam rooms and sterilizes instruments.
    • Monitors medications needed for procedures for quality and quantity.
    • Maintains records and maintenance logs for all equipment used during vein procedures.
    • Ensures that equipment is up to date on all upgrades and warranty maintenance that is required.
    • Coordinates in services for any upgrades or new devices with the physicians and clinical staff.

    Other Functions

    • Maintains required HIPAA compliance, skills/competencies and participates in in-services, staff programs, continuing education and cross-training programs according to established standards and Washington University policies.
    • Complies with OSHA, state and federal regulatory sources/standards.
    • Participates in quality improvement activities to ensure appropriate clinical outcomes.
    • Performs other duties as assigned.

    Preferred Qualifications

    • One year or more of supervisory or team leader experience.
    • Three or more years of Medical Assistant experience.
    • Business, marketing or healthcare administration degree.
    • Graduate of an accredited Medical Assistant program.
    • Electronic medical record experience.
    • Interactive communication skills with ability to work with physicians, patients, families, significant others and support staff.
    • Strong interpersonal organizational and telephone skills, working knowledge of anatomy and physiology, fundamentals of medical terminology and experience/knowledge working with electronic medical records.

    Required Qualifications

    • High school diploma or equivalent high school certification.
    • Registered or Certified Medical Assistant with a minimum of three years of related work experience (examples of related fields include military medic, emergency medical technicians, Nurse’s Aide, physical therapy and nurse technicians, and certified athletic trainers); substitutions include:
    • Medical Assistant certification/registration eligible with successful completion of certification exam within six months of hire date or within a shorter time frame if noted by hiring manager.
    • Graduate of an accredited nursing program (such as RN/LPN), or comparable allied health training program with a minimum of one year of relevant experience.
    • Must be able to show proof of Medical Assistant registration/certification or complete Medical Assistant registration/certification within 6 months of hire date or within a shorter time frame if noted by hiring manage.
    • Basic Life Support certification. (Online BLS certifications, those without a skills assessment component, are not sufficient to meet the BLS requirements.)

    Salary Range$18.84 - $28.29 / Hourly

    The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
