Job Summary:
The Sample Receiving section is on the front line of high-quality diagnostics and exemplary customer service. We provide services to veterinarians, state and federal agencies, and global animal product export companies. Sample Receiving is responsible for the initial intake, accessioning, and distribution of specimens and data submitted to the lab, and is expanding its role in additional sample processing. We directly impact the success of the testing sections and the laboratory as a whole.
The WVDL plays a crucial role in maintaining animal health in Wisconsin and across the United States. Our testing enables animal disease monitoring, outbreak detection, and control, and has a direct impact on the state and federal agricultural industry.
Responsibilities:
Supervises specimen receiving staff, and/or coordinates specimen intake and processing, and assists with operational work plans to uphold quality assurance and control and ensure workflow of the laboratory.- 5% Performs routine and technical laboratory analysis according to established procedures
- 35% Directs and monitors day-to-day diagnostic specimen intake, screening, and/or receiving/warehousing
- 10% Executes, schedules, and secures resources for operational assignments and special projects
- 5% Serves as a primary contact for research participants, individuals, and groups seeking laboratory information
- 5% Communicates progress updates and responds to inquiries
- 10% Develops, directs, and evaluates specimen shipments and preparation methods to ensure quality control, quality assurance, and to maintain Standard Operation Procedures (SOP)
- 10% Monitors and updates specimen records to ensure compliance with established policies, procedures
- 15% Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees
- 5% Direct and monitor preparation of specimens for testing including but not limited to centrifuging all serum samples prior to distribution to testing sections
Tasks:
- Manage the section's operations to match WVDL's mission and goals. Ensure turnaround times are met.
- Develop, maintain, and implement a training plan for section staff. Mentor staff and/or train staff as needed to fully equip them for their jobs.
- Supervise the daily intake of diagnostic specimens, manage the workflow and tasks of sample receiving staff, ensure samples are properly received and accession for the lab, and create and manage daily team schedules, approve leave time.
- Ensure that you and your staff follow WVDL safety and quality requirements (see Quality and Safety manuals) and standard operating procedures (SOP). Oversee the implementation of policies and programs that create a safe work environment.
- Establish effective communication by conducting regular staff meetings and actively participating in the WVDL administrative team.
- Provide Specimen Receiving & Processing metrics, issues, and updates to leadership to assist in decision making.
- Process accession information submitted electronically. Ensure positive identification of specimens utilizing barcode labels from LIMS database and distribute specimens to appropriate testing section according to SOPs.
- Receive and process specimens, check submission forms for completeness, and notify clients if additional information is needed.
- Create accessions and enter data, including reference number, species, sex, age, animal identification, and tests to perform. Verify LIMS information to ensure quality and accuracy.
- QA oversight and management for the Sample Receiving section, including trending, root cause analysis, CAPA management and preventative measures.
- Package samples for shipping to referral laboratories according to current biohazardous shipping regulations.
- Maintain the sample receiving laboratory in a clean and sanitary condition, following SOPs.
- Client communication and support for submission, shipping, and supply/media ordering.
- Centrifuge serum samples before distributing them to testing sections. Confirm the serum samples are properly centrifuged and troubleshoot if needed.

Qualifications:
- Sample receiving experience handling various types of specimens in a high-volume laboratory
- Demonstrated understanding of quality processes and quality software systems
- Excellent verbal and written communication skills, with the ability to maintain effective working relationships with staff and high-level internal and external stakeholders.
PREFERRED:
- Supervision experience or equivalent experience leading/managing a team
- Experience working in an AAVLD accredited lab or similar
- Experience with Laboratory Information Management Systems (LIMS)
- Experience working in BSL-2 laboratory
License/Certification:
After being hired, the employee is expected to become certified for Biohazardous Shipping.

It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location. Hybrid option may be available for up to 20%
This is a full time position. Typical working hours are 7:45 AM to 4:30 PM, M-F some flexibility based on WVDL workload.
