SUMMARY
We are seeking a highly skilled, organized grants administrator to join our growing City. This is administrative and specialized work of a professional nature monitoring the implementation of grant funding from various federal, state, county, foundation and corporate sources.
NATURE OF WORK
The grants administrator responsibilities include planning and implementing grant programs from its award to approval, utilization and close out.
The ideal candidate must possess the ability to perform grant program compliance and reporting.
The grants administrator also needs to provide clear communication of proper rules and regulations for grant specifications, requirements, and objectives across all departments of the City and the management.
ILLUSTRATIVE TASKS
Completes routine financial data entry analysis, reconciliation, and reporting of grant funds.
Executes an established implementation process for the use of funds awarded, ensuring that the City is following all funding requirements and guidelines.
Anticipates and coordinates all interim and final reporting requirements.
Monitors audit and performs reimbursement functions for grants, federal and state programs. Ensures that claims for reimbursements are filed properly, in a timely manner, and in accordance with program guidelines
Coordinates and monitors the City's compliance with requirements applicable to federal and state financial assistance programs
Coordinates various financial aspects of the grants and ensures its compliance with the grant module in the accounting system.
Reviews grant finances on a routine basis to check spending and available funds.
Completes financial data analysis for the creation of reports, including but not limited to, taxable spending, available funds, grant expenditures, annual reporting and other ad-hoc or specialized reports.
Prepares and review journal entries for posting.
Researches new regulations and policies affecting grant funds.
Works with appropriate personnel to properly code purchase requisitions and invoices for grant tracking of project expenditures.
Prepares Schedule of Expenditures of Federal Awards (SEFA) and ensure compliance with Federal and State Law Regulations.
Assists with preparation of financial information for grants and other funding requests.
Assists in providing audit support to Director, or designee, and communicating accounting and reporting issues to regulatory agencies by reviewing, analyzing, and preparing supporting documents and other related materials.
Performs related duties as required.
EDUCATION/ EXPERIENCE
Bachelor’s degree in Accounting, Finance, or Business and thorough (4 - 7 years) experience in grants accounting, auditing, or financial management. Should be familiar with computerized accounting systems. OR An equivalent combination of education and experience beyond a high school diploma or its equivalent and some (6 months – 2 years) of the required experience.
