What are the responsibilities and job description for the Accounting/HR Assistant-Temporary position at Cesar Chavez Foundation?
Summary:
We are looking for a proactive Accounting / HR Assistant-Temporary willing to be a part of a solution driven team who is eager to learn. This person will provide support to the Financial Management and Humar Resources department by performing daily duties. You will be part of a team that is a centralized department working to maintain accurate information of a large organization. The ideal candidate will able to work comfortably in a team setting.
The goal is to contribute to the overall efficient operation of the department and the foundation.
Essential Duties and Responsibilities:
- Accurately post and process invoices to ensure proper recording of all expenses.
- Setting up New Vendors and obtaining W-9’s.
- Collaborate with the accounts payable and accounts receivable personnel to identify and resolve any discrepancies or issues.
- Assist in the review and coding of credit card expenses
- Support Accounting Managers and CFO in projects, as assigned.
- Regularly communicates with internal and external sources regarding invoices and statements.
- Successfully functions as a team member.
- Ensure all documents are stored and filed correctly in accordance with company policy and legal requirements
- Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.
- Maintain Office Supplies Inventory
- Displays regular and reliable attendance. Reports to and departs from work on time, as scheduled.
OTHER DUTIES AND RESPONSIBILITIES:
- Demonstrates initiative by identifying potential problems and recommending reasonable solutions.
- Proactively recommends process improvements in an effort to eliminate redundancy, reduce labor costs and/or increase efficiency.
- Completes all assigned duties within the time frame and according to the standards as established by the Accounting Manager.
- Complies with all CCF and program rules, policies and procedures.
- Demonstrates commitment to professional growth by attending in-service trainings and staff development programs, and seeking out supervision when needed.
- Demonstrates adequate care and responsibility for equipment. Reports and/or repairs missing or damaged equipment and supplies.
- Ensures facilities upkeep and safety by maintaining neat and clean work areas, by securing work area at close of business day.
- Familiar with and understands Cesar Chavez Foundation Personnel Policy manual and follows all established personnel policies.
- Follows administrative chain of command.
- Reads memos, directives, meeting minutes, and revised policies and procedures as posted.
- Other duties as assigned.
Qualifications:
KNOWLEDGE OF:
- Procedure manuals and an ability to interpret these effectively.
SKILLS:
- Excellent written and oral communication skills.
- Resourcefulness, initiative and the ability to work with minimal direction and supervision.
- Utilizes logical problem-solving techniques both independently and in collaboration with others.
ABILITY TO:
- Work harmoniously with Financial Management and Human Resources team, internal and external customers.
- Create written documentation that is legible, clear, and concise.
- Maintain positive morale and unit cohesion as evidenced by maintaining a cooperative and flexible attitude toward coworkers, showing adaptability to change, exhibiting effective communication and interpersonal skills, and taking initiative to solve problems.
Education and/or Experience:
- 2 year college degree preferred but not required.
- A minimum of one to two year of accounting experience.
- Minimum three years of administrative work.
- Intermediate experience in MS Windows-based operating system.
Salary/Wage:
$19-$20/hour DOE
