Avionics Support Quality Office Manager, Starting Salary at $43K
Responsibilities for Office Manager
1. Oversee and support all administrative duties in the office and ensure that office is operating smoothly
2. Manage office supplies inventory and place orders as necessary
3. Perform receptionist duties: greet visitors, and answer and direct phone calls
4. Receive and sort incoming mail and deliveries, and manage outgoing mail
5. Develop office policies and procedures, and ensure they are implemented appropriately
6. Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure
7. Manage office budget with the General Manager of the Hangar
8. Identify opportunities for process and office management improvements, and design and implement new systems
9. Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
ADMINISTRATION
1. Open, monitor status and close sales and service orders in Total FBO
2. Enter of parts requirements into Total FBO based on technician inputs
3. Identify savings opportunities by searching for used parts in the inventory of installed in "house-owned" units
4. Monitor progress of maintenance and/or manufacturing jobs routed through the workshops through Total FBO and with the Avionics General Manager and Floor Support Manager
5. Monitoring of parts inventory levels in Total FBO
6. Conduct Bi Annual manual inventory count and update Total FBO as needed
7. Outbound and inbound logistics of the product and parts
8. Maintain paper and electronic files of per QMS requirements
9. Receiving parts in Total FBO
10. Performs contract review of all orders for customer requirements to include import/export shipping, documentation, and quality requirements.
11. Other Administrative Duties as assigned by the Avionics General Manager
CUSTOMER SERVICE
1. Assist invoicing and collection of receivables and down payments from the customer.
2. Assist in Quote MRO jobs to the customer, as authorized, and follow up on quote approvals.
3. Make timely status updates to the customer.
The AAS is considered a vital liaison between the repair station and the customer and will work with other employees to share information and help resolve production issues.
On the Job Training: Formal training with Total FBO trainers and hands on training with our Senior Office Manager of the Aviation Repair Hangar.
