Job Title: Office Manager
Reports to: Executive Director
Work Location: Lansing, MI
Base work schedule: Monday – Friday, 8 a.m. - 5 p.m., Full Time (40 hours/week)
Compensation: $22.63/hour plus benefits including PTO, Sick time, paid holidays, employer paid pension, and more.
General Responsibilities: Responsible for organizing and coordinating office administration and procedures to ensure organizational effectiveness and efficiency. Provides various administrative tasks and clerical support agency-wide. Supervises the Agency’s front desk staff. Primary point of contact for Information Technology (IT) related questions and, in collaboration with the IT consultant, ensures the optimal running of all systems.

- Provides administrative and clerical assistance agency-wide, as needed.
- Coordinates and facilitates backup schedule for front desk staff to include breaks and absences. Serves as primary backup.
- Responsible for managing inventory and ordering of office supplies, furnishings, and equipment.
- Serves as primary contact and liaison between the Agency and outside vendors and service providers regarding building, technology, telephone, mail service, and office equipment maintenance.
- Collaborates with department heads to identify and implement new technology and resources.
- Coordinates with the IT provider regarding the Agency’s technology needs. Serves as the primary point of contact with IT consultant and leads the internal IT Liaison group. Facilitates regular meetings and develops and manages processes.
- Assist in IT new hire orientation during onboarding and collaborates with IT consultant to ensure comprehensive onboarding of new staff is complete.
- Ensures that all departments have the necessary IT infrastructure and support to fulfill their responsibilities effectively.
- Helps maintain technology inventory.
- In collaboration with IT consultant and Health Insurance Portability and Accountability Act (HIPAA) Privacy Officer, regularly reviews and communicates the IT security plan to management and the Agency, verifying completeness and accuracy with the latest HIPAA policies.
- Manages offsite storage for both confidential and non-confidential records. Develops and manages processes to ensure the timely destruction of files and records.
- Facilitates the scheduling for internal and external meetings and maintains meeting room schedule. Coordinates room set-up as well as equipment & parking needs for meetings. Assists with basic technical issues with meeting room equipment/technology.
- Responsible for general office upkeep; managing the maintenance and cleanliness of agency breakroom, mailroom, and storage rooms.
- Responsible for incoming mail distribution and preparing outgoing mail for the contracted courier.
- Supervises staff, makes recommendations for employment, terminations, corrective action, and conducts performance appraisals to maintain Agency standards.

Requirements:
- Associate’s or Bachelor’s degree in Business Administration or a related field is required.
- Four years of administrative or office work experience is required.
- Two years of supervisory experience is preferred.
- Proficiency in Microsoft Office Suite and familiarity with other relevant software applications required.
Working Conditions:
- The work environment is a typical office setting. Safe work practices in regard to office equipment, avoiding trips/falls and fire regulations are required.
- In-office full time. Does not qualify for telecommuting.
- Physical mobility is required for sitting, walking, standing, bending, and lifting/holding/carrying objects of up to 20 pounds.
- Sensory requirements include exposure to uniform temperatures, conversational noise levels and everyday office activities.
