Fleet Manager manages the acquisition, operations, and maintenance of the organization's fleet of motor vehicles. Oversees scheduling and dispatch operations for vehicles and drivers. Being a Fleet Manager evaluates, purchases, leases, and disposes of vehicles to maintain the fleet. Develops and maintains vendor and service provider relationships for fuel, maintenance, and other essential services. Additionally, Fleet Manager administers insurance policy coverage, negotiates agreements, and participates in claim resolution. Develops and implements safety, preventive maintenance, and accident prevention programs. Knowledge of OSHA, DOT, and fleet-specific regulations, licensing, registration, and reporting requirements. Manages the fleet expense reporting and budgets. May require a bachelor's degree or equivalent. Typically reports to a head of a unit/department. The Fleet Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be a Fleet Manager typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required. Description: The Fleet Manager is responsible for planning, directing, managing, coordinating and supervising the fleet maintenance program/schedules, fleetio software management and fleet maintenance productivity/reports, parts ordering/inventory/stock budget and usage, the installation of Ace Tech road safety in each fleet unit, supervising the fleet maintenance shop team and their payroll, payroll budget and managing unscheduled overtime, and the overall fleet maintenance operations; repair, replacement and removal of fleet vehicles. The Central MS Fleet Maintenance Manager will also serve as the primary contact concerning the vehicle fleet and operations making the ultimate decisions whether a vehicle is safe on the road and will supervise all areas of service shop operation including overseeing employee scheduling and performance, purchasing, and receiving, and day-to-day tasks related to fleet unit maintenance, and repair services.
Essential Duties And Responsibilities- Fleet maintenance shop fleet maintenance program/schedules and fleetio software management & reporting
- Supervises and manages Central MS maintenance shop vehicles, usage, fleet fuel cards, and on-call schedules.
- Scheduling regular maintenance on all vehicles and processing all data through fleetio
- Training maintenance shop and ground teams on using fleetio programs properly.
- Ordering urgent or emergency repairs as needed
- Providing reports to management on quarterly budgeting, schedules, maintenance/repairs, and payroll
- Developing methods to decrease cost and improve efficiency
- Oversees the repair and maintenance for all vehicles in the fleet
- Supervise and directs the mechanics to ensure the completion of all daily work orders and their individual performance
- Maintains equipment records in accordance with federal, state and local laws, and company policy/procedure
- Exercise discretion/judgment to provide progressive discipline for maintenance staff and partners with HR on progressive discipline and documentation
- Responsible for all fleet record maintenance including but not limited to monthly vehicle preventative maintenance, fire suppression systems, electrical system checks, fuel card usage (by the maintenance shop), remount schedule, and supplies/parts orders, inventory stock and organization
- Supervises/Manages the upkeep, cleanliness, organization, tools and inventory of maintenance shop.
- Supervises/Manages all fleet parts removed, sold, replaced, or reused to reduce cost and liability.
- Collaborates with supervisors and staff to manage and reduce expenses such as repair options, parts options, reduce waste, and labor costs.
- Develops and implements goals, objectives, policies, and priorities to identify opportunities for improving Fleet maintenance services and leads with a positive, customer service, and professional/respectful demeanor and attitude; leads by example
- Oversees, directs and participates in the development and administration of the assigned Central MS fleet maintenance annual budget; participates in the forecast of funds needed for adequate staffing, equipment, materials and supplies for replacement.
- Performs cost-analysis, authorizes and monitors expenditures, and implements adjustments.
- Additional tasks that may arise to assist the team in meeting company goals & objectives.
- High School Diploma or GED Required, Associates Degree or advanced degree preferred
- Valid Driver’s License
- Five (5) years of experience in fleet maintenance or repair with two years in a supervisory role required.
- Experience as an auto mechanic, understanding of basic vehicle mechanics, including the ability to identify when
- Can teach and use the fleetio and ACETECH software program systems and reporting
- Great written and verbal communications skills
- Ability to help create and monitor a budget and use data and reporting to drive process improvement
- Good problem-solving, critical thinking and decision-making skills
- Creates and leads a culture of teamwork, accountability, professionalism, respect, and positivity
- Excellent leadership skills, including goal setting, motivation and training
- Basic math and data analysis skills
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift 25 pounds at a time.
- Must be able to access and navigate fleet parking lot and maintenance facilities.
