COLLECTIONS SUPERVISOR
The Collections Supervisor is responsible for overseeing the collections process, ensuring timely and effective collection of outstanding receivables, and maintaining accurate financial records. This role involves supervising the collections team, developing strategies to improve collection rates, and ensuring compliance with all relevant regulations and firm policies. The Collections Supervisor works closely with clients, attorneys, and the finance team to manage and resolve outstanding accounts receivable issues.
COLLECTIONS SUPERVISOR RESPONSIBILITIES
Supervision and Team Management:
Lead and manage the collections team, including hiring, training, and evaluating performance.
Provide guidance and support to team members on complex collection cases.
Ensure the team adheres to all firm policies and procedures related to collections.
Collections Management:
Oversee the collection of outstanding receivables and ensure timely follow-up on overdue accounts.
Develop and implement effective collection strategies and processes.
Monitor collection metrics and generate reports for senior management.
Client Relations:
Communicate with clients to resolve payment issues and negotiate payment plans if necessary.
Maintain positive client relationships while ensuring prompt payment of invoices.
Address and resolve any client disputes or concerns related to billing and collections.
Financial Reporting and Analysis:
Prepare regular reports on collections status, aged receivables, and cash flow forecasts.
Analyze collection data to identify trends and areas for improvement.
Work with the finance team to reconcile accounts and ensure accuracy of financial records.
Compliance and Risk Management:
Ensure compliance with all relevant laws and regulations related to collections and debt recovery.
Implement best practices for risk management and minimize the firm's exposure to bad debt.
Stay updated on industry developments and changes in regulations.
Process Improvement:
Identify opportunities for process improvements within the collections function.
Implement technology solutions to enhance efficiency and effectiveness of collections activities.
Provide training and development opportunities for team members to improve skills and knowledge.
COLLECTIONS SUPERVISOR REQUIREMENTS
High School Diploma or equivalent
Minimum of 5 years of experience in collections, with at least 2 years in a supervisory role.
Experience in a law firm or professional services environment preferred.
Strong knowledge of collections processes, regulations, and best practices.
Excellent leadership and team management skills.
Exceptional communication and interpersonal skills.
Proficiency in financial software and Microsoft Office Suite, especially Excel.
Strong analytical and problem-solving abilities.
High level of integrity and attention to detail.
