Job Summary / Basic Function
PennWest University Clarion is seeking an experienced and knowledgeable Associate Registrar to join our dynamic Office of the Registrar team. This key leadership role will oversee critical operations involving degree works, graduation, commencement, and serve as a backup authority for the Campus Registrar.
In this multifaceted position, you will manage a complex team across three campuses while providing expert guidance on academic policies, procedures, and FERPA regulations. You will employ strong organizational, management, and problem-solving abilities to optimize processes, implement improvements, and ensure seamless service to students, faculty, and staff. Strong technical skills would be an asset.
Key Responsibilities:
- Manage the degree audit process, ensuring accurate degree certifications, template creation, and curricular updates in the student information system (Banner) and degree audit platform (Degree Works).
- Oversee commencement activities, coordinate ceremonies, produce commencement materials, and authenticate graduation requirements.
- Liaise with academic departments, deans, and the provost’s office regarding degree audits, substitutions, and policy/procedure interpretations.
- Supervise and mentor assistant registrars and staff members while conducting performance evaluations and fostering professional growth.
- Master Banner, Degree Works, reporting tools (Argos), and other systems for registration, record-keeping, communications, and academic operations.
- Collaborate with the athletic compliance office on degree progress evaluations for student-athletes per NCAA bylaws.
- Provide training and development for institutional stakeholders on academic systems and processes.
- Represent the Office of the Registrar on committees and in leadership capacities as assigned.
Required Skills, Knowledge & Abilities
Minimum of Education / TrainingRequired Education Summary
- Bachelor’s degree required.
- Progressively responsible experience in a university registrar’s office or relevant higher education setting.
- Extensive expertise with the Banner student information system or similar platforms.
- Strong leadership, organization, communication, and interpersonal skills.
- Proven ability to manage teams, projects, and competing priorities with minimal supervision.
- Commitment to professional integrity, customer service, and continuous improvement.
Preferred Qualifications
- Advanced degree or progress toward an advanced degree preferred.
