Executive Assistant, Wellness Enterprise

  • George Fox University's Wellness Enterprise is seeking a highly skilled, proactive, and organized Executive Assistant to provide comprehensive administrative support to the Executive Dean of Wellness Enterprise. The ideal candidate will possess exceptional communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently.


    About the Job:

    The Executive Assistant works closely with the Executive Dean and administrative staff of the Wellness Enterprise to assist in the administration of program budgets, restricted cost centers, and contracts. The EA will be responsible for communication with external stakeholders, internal leaders and university offices. This position will require communication with the Office of People and Culture to coordinate contracts for full-time and adjunct faculty and stipend administration for clinic management. The Executive Assistant will collaborate with the Executive Dean in the compilation of data related to program success. This person will organize, communicate and take minutes for the monthly Enterprise meetings. This person will manage the organization and timing of faculty growth plan submission and feedback.


    Job responsibilities include, but are not limited to:

    • Assisting the Executive Dean with administrative tasks for routine daily management of the Wellness Enterprise (e.g., scheduling, calendar, email communication)
    • Maintaining faculty personnel files and databases.
    • Supporting the review and approval of budget expenditures for the Wellness Enterprise, in conjunction with the Executive Dean.
    • Providing administrative support for faculty load determination and allocation, as well as contract creation and hiring processes, in conjunction with the Executive Dean.
    • Assisting in projects related to the assessment of Enterprise programs and initiatives. This could include, but is not limited to, data collection, data management, data presentation.
    • Providing effective communication with external stakeholders and key internal leaders.
    • Engaging in decision-making to address administrative challenges that arise, in conjunction with the Executive Dean.
    • Taking detailed meeting minutes in a variety of settings.
    • Supporting the Executive Dean by serving as a resource person for the faculty through clear communication and timely dispersal of information
    • Creating/compiling/scheduling communications for the Wellness Enterprise.
    • Coordinating communication and training among the Wellness administrative staff.
    • Demonstrating a willingness to serve on committees or work groups as needed.
    • Communicating effectively and courteously with others, including employees, students, and the public, in a spirit of teamwork, respect and customer service.
    • By actions, words, and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.
    • Demonstrating awareness, respect, and appreciation for diversity of culture, background, race, sex, political views, expressions of faith, etc. and works well with a variety of people.
    • Other duties as assigned.
